1. Who we are

SitbackHQ ("we", "our", "us") operates sitbackhq.com. Privacy questions: privacy@sitbackhq.com.

2. What data we collect

Usage data (all users)

We track conversions per IP per day to enforce free tier limits. We store: your IP address (hashed), date, and a count. We do NOT store the content of your meeting notes.

Account data (registered users)

If you create an account: email address, name (optional), and subscription status.

Payment data (Pro subscribers)

Handled by Stripe. We receive a Stripe Customer ID and subscription status only.

3. What we do NOT store

• The content of your meeting notes
• Your generated action items or emails
• Any PII mentioned in your notes

4. Cookies and analytics

We use Google Analytics 4 with anonymised data (pages visited, session duration, country-level location). No advertising cookies. You can opt out via your browser settings.

5. Third-party services

• OpenAI — AI processing. Notes sent to OpenAI API in real time and not retained.
• Supabase — Usage counts only, stored in EU data centres.
• Google Analytics 4 — Anonymised analytics.

6. Your rights

UK users (UK GDPR)

Right to access, correct, delete, and port your data. Contact privacy@sitbackhq.com — we respond within 30 days.

US users (CCPA)

Right to know, delete, and opt out of sale. We do not sell personal information.

7. Data retention

Usage records (IP-based daily counts) are retained for 90 days then deleted automatically.
